Where Your Week Quietly Disappears

This is not a productivity guide.
If your business is growing but everything feels heavier than it should, the problem usually isn’t effort. It’s where your attention is going.
This short diagnostic will help you see which parts of your week quietly depend on you and shouldn’t.
Don’t try to fix anything yet.
Just observe honestly.

Step 1: Think About a Normal Week

Not your best week.
Not your worst week.
A typical one.
Now mentally sort your time into the four categories below.
You don’t need exact hours. Patterns are enough.

1️ Creation

This is work that directly creates value for the business.
Examples:
  • setting direction or priorities
  • solving high-leverage problems
  • closing key deals
  • thinking about what the business should become next
Question:
Does this time feel energizing or draining?
Creation usually feels heavy but meaningful.

2️ Decisions

This is where judgment is required.
Examples:
  • approving work
  • choosing between options
  • reviewing outputs
  • deciding what matters most this week
Some decisions belong with you.
Many don’t, but still end up on your plate.
Question:
How many of these decisions could someone else make if the rules were clearer?

3️ Interruptions

These are unplanned moments that break focus.
Examples:
  • “quick questions”
  • Slack pings
  • clarifications
  • context-setting messages
Each one feels small.
Together, they fragment your week.
Question:
Do these interruptions require your judgment or just your availability?

4️ Escalations

These are problems that move upward.
Examples:
  • client issues
  • internal disagreements
  • edge cases
  • exceptions to normal flow
Escalations feel like leadership.
Over time, they become a dependency.
Question:
Are these problems unclear or just undeclared?

Step 2: Identify the Leaks

Now the important part.
Look at the four categories and ask:
Which two take the most time but shouldn’t belong to me anymore?
Don’t overthink it.
Most founders immediately see the answer.
Write them down.

Step 3: The Interpretation (Simple, Honest)

  • If Creation is missing → you’re trapped in the business
  • If Decisions dominate → clarity hasn’t been externalized
  • If Interruptions dominate → the business routes context to you
  • If Escalations dominate → rules don’t exist, only judgment
None of these mean failure.
They mean the business is growing faster than its structure.
 

Step 4: See What to Systemize First

Not sure where to start? Here’s a simple trick: track your tasks in a Notion database, and it will show you exactly which ones to delegate or systemize first.

This isn’t guesswork, it’s based on what actually drains your time.
How to use it:
  1. List your tasks: everything that takes your attention this week.
  1. Rate each task:
      • Annoyance (1–5): How frustrating it is
      • Frequency (1–5): How often it happens
      • Simplicity (1–5): How easy it would be to systemize or delegate
      • Impact (1–5): For context, doesn’t affect priority
  1. The Priority Score calculates automatically. Higher scores = tasks you should systemize or delegate immediately.

Final Note

Most founders assume this pressure is normal.

It’s what happens when a business scales before decisions, context, and ownership do.
Seeing the pattern is the first step.
Fixing it comes later.
