In the first 90 days we install a custom operating system, your company's single source of truth. Then we run it, expand it, and adapt it with you every month after.
This is closer to hiring an operations department than buying a tool: a visionary, an integrator, and a support team in one, plus an army of AI agents working alongside them. You get an entire ops department for a fraction of what one senior hire costs.
Our job is to capture how your company actually runs, document it, and layer AI on top, so the business stops depending on you for every decision and starts running on a system your whole team and your agents can operate from.

The first 90 days is the foundation. Think of it as the starting line. Most builds stall the moment the builder walks away. Ours keep going, because Day 90 isn't a handoff. By then the system is live, your team is already trained on it, and the partnership shifts into ongoing execution. The momentum carries instead of dying at the drop-off.
Stage 1: Foundation (First 90 Days)
Objective: Design, build, and go live on a custom operating system that captures how your company actually runs, documents your core processes, and stands up the AI layer on top. The result is less founder dependency and one source of truth the whole team and your agents can operate from.
The approach is discovery-led. We finalize the exact architecture, priority workflows, and AI agent scope after the Phase 1 audit and document them in your Implementation Plan. Training and enablement start early, in the first weeks, so adoption is built into the work instead of bolted on at the end.
Phase 1, Audit & Foundation (≈ Days 1–15)
Objective: Understand how your business operates today, where execution breaks down, and what architecture best supports adoption and scale.
- Structured deep-dive interviews (60–90 min) with founder/executives and designated key team members.
- Map how decisions, priorities, and execution really happen today.
- Identify bottlenecks, tribal knowledge, context dependencies, and failure points.
- Review your current tools, workflows, and communication patterns.
- Deploy the foundation of your operating system in Notion, with navigation and a baseline permissions approach.
- Load your identity inputs: Vision, Company Identity, and Brand Avatar.
Milestone deliverables:
- Foundation operating system deployed (core structure, hubs, navigation, baseline permissions).
- Identity Foundation loaded.
- Implementation Plan: recommended architecture, priority outcomes, selection of 1–2 priority workflows for Phase 2, staff rollout and adoption approach, and preliminary AI agent plan and timing.
You review and provide feedback within seven (7) business days.
Phase 2, Build & Execution (≈ Days 15–60)
Objective: Build the operating system anchored by roles, a knowledge base structure, Meetings, the Projects | Tasks operating layer, and 1–2 priority workflows.
- Role and ownership modeling: every seat has a purpose, main responsibilities, and owned metrics.
- Knowledge base structure designed for retrieval, execution, and AI use.
- Projects | Tasks operating layer rolled out (views, templates, rhythms).
- Build and deployment of 1–2 priority workflows, with documentation and initial population.
- Integration setup for supported Notion connections (Email, Calendar, Drive, Slack, CRM, project tools).
- AI enablement work begins: brand-voice inputs, data structure, and workflow stability, with a possible first agent delivered late in this phase.
- Enablement starts here. Early walkthroughs and access expansion to key staff so the team learns the system as it's built.
Milestone deliverables:
- Roles + ownership layer.
- Knowledge base structure.
- Projects | Tasks system deployed and configured.
- 1–2 operational workflows built, deployed, and populated enough to operate at launch.
- Access/permissions approach implemented (Leadership / Staff).
Phase 3, Activation, Training & Go-Live (≈ Days 60–90)
Objective: Turn on the AI, drive adoption, and move into the ongoing partnership with no cliff at Day 90.
- Live team training sessions and role-based walkthroughs.
- AI agent deployment (up to two agents) and enablement, subject to readiness.
- Weekly ops-review loop installed (metrics, projects, blockers).
- Final tightening of views, templates, documentation, and permissions.
- Handoff documentation and admin training.
- Transition into Stage 2: the wishlist is stood up, the first ongoing strategy session is booked, and the build engine picks up its next priority immediately.
Milestone deliverables:
- Two (2) live training workshops for your staff.
- Training materials (quick-start docs; video walkthroughs where appropriate).
- AI agent delivery (up to two) and enablement, subject to readiness.
- Live, adopted operating system, and a running start into the ongoing partnership.
Stage 2: The Ongoing Operating Partnership (Month-to-Month)
Your operating system is built. Left alone, most systems drift back toward the old chaos the moment the builder steps away. This stage is how we keep yours alive and getting more valuable. We stay in the seat as your operating partner and work at two levels at once. On strategy, we keep vision, focus, and the system aligned to where the business is actually going. On execution, we keep expanding and refining it. And we provide always-on support and enablement so your team actually adopts everything.
This is the layer that turns "we have a system" into "the system does more every month."

Pillar 2: Execution: A Continuous Build Engine
A continuous build engine run against your priorities.
- One active build in development at all times: a new workflow, dashboard, AI agent, automation, or integration, worked to completion before we pull the next.
- Every request is sized when it goes in. Small items ship in days, larger ones in a couple of weeks. You always know the timeline before we start.
- No cap on size. You decide whether a slot goes to three quick wins or one major build. Bigger builds simply hold the focus longer.
Pillar 3: Support & Enablement
- Direct support channel for your team's day-to-day "how do I…" questions, tweaks, and fixes.
- Training on everything we build. Every new workflow or agent ships with a live walkthrough, a Loom saved into your knowledge base, and/or reference docs. Adoption is part of the work, never an afterthought.

AI Agents, Your Digital Workforce
During the Foundation we design your AI enablement plan and deploy up to two (2) AI agents. Type and timing are set by the Implementation Plan and readiness factors: availability of approved source material, workflow stability, and adoption progress. After the Foundation, agents become first-class citizens in the ongoing build queue, prioritized exactly like any other build, so your digital workforce keeps growing.

Investment
$6,000 / month. Everything included.
- First 3 months, the Foundation. Covers the full custom build: audit, operating system, roles and ownership, knowledge base, the Projects | Tasks operating layer, 1–2 priority workflows, integrations, identity foundation, training, and up to two AI agents. (3-month minimum engagement.)
- Month 4 onward, the Operating Partnership. Continues month-to-month. Stay as long as it keeps creating value. Give 30 days' notice if you ever decide to pause.
What you're really getting for that. A full-time head of operations who could build this runs $120,000–$180,000+ a year, and even then they couldn't stand up the AI layer or train your team alone. For $6,000/month you get the strategist, the build engine, the support desk, and an army of AI agents. That's an entire ops department for roughly the cost of a single junior hire.
What's Not Included (so the partnership stays healthy)
This isn't hourly work, and it isn't a help desk. We're not a staffing seat for ad-hoc individual tasks or an extra set of hands on your team's to-do list. We build and run the system that gets the work done. We don't become a line on your org chart. If a need falls outside this relationship, we'll name it and scope it separately instead of quietly absorbing it.
Getting Started
Once we're aligned, this is what happens next:
- We confirm your start date and schedule an initial onboarding meeting.
- We book your Phase 1 audit interviews with you and your key team members.
- The build begins. Ninety days later you're live, trained, and running on your own operating system.
Onboardings are held on a first-come, first-serve basis. To maintain quality, we only onboard 3 clients per month.
Client Responsibilities
- Provide reasonable access to key personnel for interviews, build sessions, and training.
- Respond to requests for information and approvals within 48 business hours where reasonably possible.
- Assign an internal point of contact empowered to coordinate scheduling and approvals.
